Administrative Assistant – Rooted and 1830
Reports to: Rooted Coordinator
Hours: PT, 15 hours/week (Sunday – Wednesday, or Monday – Thursday)
ADMINISTRATIVE DUTIES:
Responsibilities will apply to both Rooted (NEW Discipleship Pathway) and 1830 (Young Adult Environment)
- Help coordinate and attend all meetings
- Take notes during meetings and assist with ensuring appropriate follow-up, creating and updating notes in Google Docs
- Coordinate with Director of Adult Ministry and Rooted Coordinator to plan annual calendar of events
- Update staff communications plan regularly for all events and activity
- Monitor inbox and respond/forward as appropriate
- Compose/ Email Save the Date and/or RSVPs for various meetings
- Orientations
- Leader trainings
- Launch events
- Weekly Rooted Meetings
- Celebration events
- Email reminders for events, including any preparation/homework, request for stories and from Rooted Group Leaders WINs
- Email responses to Connections inquiries
- Add new Rooted Groups to the database (Fellowship One) and maintain accuracy of database information, updating as needed
- Create surveys to send following events to participants
- Track Ministry Leader Agreements and send out annual reminders/follow-ups
- Create SignUp Geniuses for various volunteer needs
- Attend monthly staff meetings
- Set up GroupMe Group for new Rooted groups, as needed
- Order materials (Rooted guides, leader guides, t-shirts, event swag, etc.)
- Process receipts, expense reports and updating budget spreadsheet
- Special projects that arise
SKILLS REQUIRED:
- Written communication skills – compose and edit various communications clearly, professionally and in line with Journey’s voice/brand, exhibiting attention to detail
- Technology skills – comfortable using a variety of technological tools, including spreadsheets, word processing, Google Drive, databases
- Organization and planning skills – embrace systems and processes for how/when to perform various tasks
- Critical thinking and problem solving skills – consider efficiencies and make adjustments as needed in a dynamic environment
- Detail oriented
- Background in administration, communication, and/or project management a plus
